Privacy Policy

OpenHouse Follow Ups (“OpenHouse Follow Ups”, “we”, “us”) helps real estate professionals turn paper sign-in sheets into send-ready leads and follow-up emails. This policy explains what we collect, how we use it, and the choices you have.

What We Collect

  • Account information (for example: your email address) when you create an account or request a magic link.
  • Uploads and extracted data that you provide to the service, such as photos or PDFs of sign-in sheets and the lead details we extract (names, email addresses, phone numbers, notes, and confidence/review metadata).
  • Usage and device data, such as approximate location derived from IP address, browser type, pages viewed, and timestamps, to secure the service and understand performance.
  • Cookies and similar technologies, including essential session cookies and security/fraud-prevention signals.
  • Payment information if you purchase a paid plan (payments are processed by Stripe; we do not store full card numbers).

How We Use Your Data

  • Provide the service, including processing uploads, extracting leads, and generating follow-up drafts.
  • Send emails and transactional messages you request (such as magic links and follow-ups).
  • Maintain security, prevent abuse, and debug issues.
  • Improve product quality (for example, fixing extraction edge cases and measuring reliability).
  • Handle billing and account administration.

How We Share Information

We share information with vendors (“subprocessors”) that help us run the service:

  • Cloudflare – hosting, edge delivery, storage, and security (including Turnstile).
  • Amazon Web Services – OCR and supporting infrastructure (for example: Textract and related jobs).
  • Model providers – we may use AI models (via providers such as OpenRouter and underlying model vendors) to assist with extracting structured data and drafting copy.
  • Stripe – payment processing.
  • Email infrastructure – sending emails on your behalf (for example: Amazon SES).

We may also share information if required to comply with law, to enforce our terms, or to protect the rights, safety, and security of our users and the public.

Retention

We retain account information and service data (including uploads and extracted leads) for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. If you request deletion, we will take reasonable steps to delete or de-identify data, subject to lawful exceptions (for example, security logs and billing records).

Security

We use HTTPS in transit and apply access controls to service systems. No method of transmission or storage is 100% secure, but we work to protect data against unauthorized access, alteration, and loss.

Your Choices & Requests

  • Account data: You can request access, export, correction, or deletion of your account data.
  • Open house recipients: If you receive a follow-up email generated by a customer using our service, follow the opt-out instructions in that message or contact the sender directly.

Children

OpenHouse Follow Ups is not intended for children under 13, and we do not knowingly collect personal information from them.

Changes

We may update this policy from time to time. We will post the updated version here and update the effective date above.
